How to Set Up a Kanban Board in ClickUp for the New Year
Step 1: 🛠️ Clean Up Your ClickUp Workspace
Before diving into the new setup, it's essential to clean up your existing ClickUp workspace. Start by removing outdated tasks and organizing your current projects. This will give you a fresh start for the new year.
First, navigate to the Spaces section on the left side of your ClickUp dashboard. Here, you can group everything into a new space based on the areas you plan to work on. For example, I have spaces for YouTube, Pretty Fabulous, Courses, and Writing.
Step 2: 🗂️ Create a New Space
Creating a new space in ClickUp is straightforward. This step is crucial for organizing your tasks and projects for the new year. Let's create a new space together.
Click on the "Spaces" section and select "Create New Space." Name your new space based on the project or area you will focus on. For instance, I named mine "Card Deck Academy." You can also choose a color and upload an icon to personalize your space.
Step 3: 🎨 Customize Your Space
Customizing your new space helps in making it visually appealing and easier to navigate. You can choose different colors and icons for your space.
Upload an icon that represents your project. You can resize and adjust the icon to fit within a circle. Once you're satisfied with the appearance, hit "Save."
Step 4: 📝 Set Up Statuses Using the Kanban Method
The Kanban method is an excellent way to manage your tasks. It involves setting up different statuses to track the progress of your tasks.
For this setup, we'll use the following statuses: To-Do, In Progress, and Complete. You can customize the names and colors of these statuses to suit your preferences. For example, I use blue for To-Do, purple for In Progress, and green for Complete.
Step 5: 📋 Enable ClickUp Features
ClickUp offers various features to enhance your productivity. However, it's essential to enable only the features you need to avoid clutter.
For instance, I disable multiple assignees and tags but enable custom fields. This helps in keeping the workspace clean and focused.
Step 6: 📊 Choose Your Default View
Choosing the right default view is crucial for efficient task management. ClickUp offers multiple views like Board, List, and Calendar.
I prefer the Board view as it resembles a Trello board, making it easier to move tasks between statuses. You can also enable the List view if you find it helpful.
Step 7: 🗒️ Add Tasks to Your Space
Now that your space is set up, it's time to add tasks. Start by listing all the tasks you need to complete for your project.
For example, in my Card Deck Academy space, I add tasks like creating a sales page, lead magnet, welcome sequence, and webinar. You can add dates to these tasks, but for now, let's keep them in the To-Do status.
Step 8: 📅 Organize Tasks into Folders and Lists
Organizing your tasks into folders and lists helps in managing multiple projects within a single space. This step is optional but highly recommended for better organization.
For instance, I have folders for courses, planner refreshes, and annual tasks. Within each folder, I create lists for specific tasks. This structure helps in keeping everything organized and easily accessible.
Step 9: 🔄 Update Statuses as You Progress
As you start working on tasks, update their statuses to reflect their progress. This helps in tracking your work and ensuring nothing falls through the cracks.
Move tasks from To-Do to In Progress and then to Complete as you work on them. You can also add a Review status if you need to QA your tasks before marking them as complete.
Step 10: 🗓️ Set Up a Weekly To-Do List
Having a weekly to-do list helps in planning your work for the week. This list acts as a catch-all for tasks that don't fit into specific projects.
Create a new list called "Weekly To-Do List" and add tasks for each day of the week. You can set the statuses as Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday, and Complete. This setup helps in slotting tasks into specific days, making it easier to manage your weekly workload.
Step 11: 📅 Join Weekly Scrum Meetings
Scrum meetings are a great way to stay on track with your goals. These meetings involve discussing what you accomplished last week, what you plan to do this week, and where you need help.
