How to Sync Google Calendar with ClickUp: A Step-by-Step Tutorial
Step 1: Prepare Your Google Calendar π
Before we dive into syncing, let's get your Google Calendar ready. Ensure you're logged into your Google account with the calendar you wish to sync. If you have multiple calendars, don't worry; you'll get to choose which ones to sync later in ClickUp.
Note that only the calendars under the βMy Calendarsβ section in Google Calendar will sync to ClickUp. Shared calendars, like those of family members, won't transfer over.
Step 2: Access ClickUp Settings βοΈ
Now, let's head over to ClickUp. Navigate to the bottom left corner and click on "My Settings." Scroll down until you find the "Calendar" section. Click on it to access the calendar settings.
You'll notice an option to add an account. This is where we'll start the syncing process.
Step 3: Add Your Google Account to ClickUp π
Click the "Add Account" button. You'll be prompted to select the Google account you want to sync with ClickUp. Choose the appropriate account and proceed.
Don't worry about the specific calendars at this stage; all your calendars will sync, and you can filter them later in ClickUp.
Step 4: Sync Google Calendar Events to ClickUp π₯
Once your Google account is added, select the option to sync events from Google Calendar to ClickUp. This will transfer all your events into ClickUp, allowing you to see them in your ClickUp calendar view.
Go back to your ClickUp space and switch to the calendar view. You should now see all your Google Calendar events in ClickUp.
Step 5: Customize Your Calendar View ποΈ
ClickUp allows you to customize how you view your calendar. You can choose between daily, weekly, four-day, or monthly views. Personally, I prefer the weekly view for its comprehensive yet manageable display.
To access these options, use the dropdown menu at the top right of the calendar view.
Step 6: Add National Holidays πΊπΈ
Adding national holidays to your calendar can help you plan around public holidays. In ClickUp, go to the "Add Calendar" section and select "Add National Holidays."
You can add multiple countries' holidays if needed. For example, I add both US and Canadian holidays to stay in sync with my previous work habits.
Step 7: Customize Task Display π
ClickUp offers various settings to customize how tasks appear on your calendar. Go to the calendar settings and decide whether to display subtasks, future recurring tasks, and task dates.
Ensure subtasks have start or due dates so they appear correctly. Adjust the clock format to either 12-hour or 24-hour based on your preference.
Step 8: Add Tasks to Your Schedule π
Drag and drop tasks from your list into your calendar to time block your day. This can help you manage your time more effectively.
For instance, you can move overdue tasks into your current schedule to prioritize them. Click on the task to add details or adjust the timing as needed.
Step 9: Enable Two-Way Sync π
To see your ClickUp tasks in Google Calendar, you need to enable two-way sync. Go back to ClickUp settings, navigate to the calendar section, and click "Add Account" again.
Select the option to sync tasks back to Google Calendar. Choose the specific Google Calendar where you want these tasks to appear.
Step 10: Verify Sync and Adjust π οΈ
After enabling two-way sync, refresh your Google Calendar. You should see all the tasks you added in ClickUp now appearing in Google Calendar.
This ensures you won't double-book yourself and can manage your tasks and appointments seamlessly.
